- Personal information is only to be collected where it is directly relevant to the delivery of the programs and services of Faith Bible Camp.
- Personal information is collected directly from the individual, or their legal guardian.
- Personal information may be collected from Faith Bible Camp application forms, from written communication (letter or email), or verbally (direct contact or phone). Verbal contact should be followed up with the source providing written confirmation of the collected information.
- All personal information collected by Faith Bible Camp is to be used solely for the purpose of delivering our programs and services. In any case where these purposes require the disclosure of information to an external organization, affected individuals will be notified of this requirement and given the opportunity to refuse disclosure (with the exception of emergency situations), on the understanding that, in some cases, this will mean that the service cannot be provided.
- Personal information is accessible to, and used by, Faith Bible Camp and Faith Bible Camp member churches only.
- Hard copies of all personal information are stored in the office of Faith Bible Camp. Electronic information is stored on the Faith Bible Camp office computer system.
- All personal information is stored for a maximum period of seven years, and then it is destroyed.
- All hard copy files will be stored under lock. All electronic files will be protected by password.
- All information associated with an individual’s file is available to that individual, or their legal guardian, within 14 days upon receipt of a written request.
- In the absence of an appointed Privacy Officer, the Chairman of the Board will fill that role.
- Complaints regarding privacy issues will be received in writing by the Privacy Officer. The board will be notified of the complaint and appoint two directors to consult with the Privacy Officer and provide a written response. If the complainant is not satisfied with the response, the matter will be reviewed by the full board. The complainant will be given the option to present their complaint to the board in person.
